Budget follow-up

This screen allows you to track your expense and revenue targets entered in the Budget management screen and compare your cumulative treasury flow (realized and forecast) to your budget. 

To make your budget follow-up easier, a visual alert is displayed to let you know if forecasts or bank transactions prior to the current date have not been handled.

Prerequisite: You must have the Display right on the Budget function for the Cash forecasting module. This right can be defined in the Users and Rights > User administration > Users menu

  1. Select Cash forecasting > Treasury Budget > Budget follow-up.
  2. Select the company for which you wish to follow the treasury budget.
  3. Click on Display. The budget follow-up table for the current calendar year is displayed.  
  4. If you wish, you can export your budget in XLS format. To do so, click on at the top right corner of the budget follow-up table.  

Description of the table

Default display of the table :

  • Same periodicity as chosen in the Budget management screen (monthly by default),
  • Current calendar year displayed,
  • Non confirmed forecast transactions taken into account,
  • Progress bars displayed on the current and next month,
  • Zero value rows are hidden,
  • The currency is that of the country configured for the company; if some of the company's bank accounts are not in the same currency, their amounts are counter-valued. 

The table is composed of three sections. The explanations below concerning these sections are based on a monthly periodicity. 

1. "Realized" section

The "Realized" section is composed of columns for past months and rows for budgetary codes. Each cell displays, for a given month and a given budgetary code, the sum of the transactions by booking date made for all the company's bank accounts (Cash forecasting Module). 

The "Initial balance" row displays the balance by booking date for the first day of the month.

The "Ending balance" row displays the balance by booking date for the day following the last day of the month. 

2. "Budget projection" section

The "Budget projection" section is composed of columns for the current month and future months, as well as rows for budgetary codes. Each cell displays the amount budgeted for a given month and a given budgetary code; the amounts entered in the Budget management screen and the forecasts registered in the Cash forecasting Module are taken into account. 

The "Initial balance" row displays the ending balance of the previous period.

The "Ending balance" of a period is the opening balance of that period plus the budgeted amounts for the budgetary codes of that period. 

3. "TOTAL" section

Three "TOTAL" columns are displayed on the right side of the table:

  • The "Realized TOTAL" corresponds to both the realized transactions of the past months and of the current month.
  • The "Remaining TOTAL" corresponds to both the budgets of the coming months and the budget of the current month (after deducting the realized transactions).
  • The "TOTAL" corresponds to the sum of the "Realized TOTAL" and the "Remaining TOTAL".

Displaying options

You can modify the display of the table if you wish. To do so, click on Options, select the desired options and click on Save

Number of columns - past {periods}

Select the number of columns and progress bars to display in the "Realized" section. 

Example:

  • Periodicity - display by: Month
  • Number of columns - past {periods}: 3 including 2 with progress bar
  • Current month: April

Here, Iziago will display in the "Realized" section 3 columns corresponding to the 3 months preceding the current month: January, February and March. A progress bar will be displayed for the 2 months preceding the current month: February and March.

Select the number of columns and progress bars to display in the "Budget projection" section. 

Example:

  • Periodicity - display by: Month
  • Number of columns - future {periods}: 4 including 2 with progress bar
  • Current month: April

Here, Iziago will display in the "Budget projection" section 4 columns corresponding to the 4 months starting from the current month: April, May, June and July. A progress bar will be displayed for 2 months starting from the current month: April and May.

Include non confirmed transactions Uncheck the box if you wish to exclude non confirmed transactions from the budget. 
Hide zero value rows Uncheck the box if you wish to display the lines when the amount is equal to 0.
Check if there are non-handled past transactions Uncheck the box if you do not want a visual alert to show you non-handled past transactions.

Progress bar

Progress bars allow you to view the progress of your budget. Use the table display options to set the number of bars you want to view for past and future periods.

The total length of the bar corresponds to the budgeted amount. The transactions (realized, forecast, etc.) are represented by colored segments:   

  • Light green segments represent realized transactions (credit).
  • Light red segments represent realized transactions (debit).
  • Pink segments represent recorded forecasts.
  • Grey segments represent the difference between realized transactions and forecast transactions (remaining).
  • Dark green segments represent the overruns due to realized and/or forecast transactions (credit).
  • Red segments represent the overruns due to realized and/or forecast transactions (debit).

You can hover over a progress bar to view detailed information. 

Examples:

The cell indicates €15,000.00  The cell indicates €1,000.00  The cell indicates €-1,000.00

You have budgeted a credit of €15,000. You have already received a credit of €6,000 (light green segment) and recorded €4,000 in forecasts (pink segment). You still need to receive €5,000 (gray segment) to reach your target of €15,000.

You have budgeted a credit of €800. You have already received a credit of €500 (light green segment) and recorded €500 in forecasts (pink segment). You therefore have a €200 credit overrun (dark green segment).

You have budgeted a debit of €800. You have already had a debit of €500 (light pink segment) and recorded €-500 of forecasts (pink segment). You therefore have a €200 debit overrun (red segment) on your target of -800 €.

To view the list of forecast transactions included in a budget, click on the corresponding cell. Iziago displays this list in the Search and modify transactions screen.
